Notion Kanban Board Template: Build a Board That Actually Works

Notion's board view is more capable than most people realize — and most people are using about a third of it. They create a Status property, switch to Board view, and call it done. That's a start, but it's nowhere near what a well-configured Notion Kanban can do.

This guide covers the full setup: basic board, multi-property upgrades, filter views, and the linked database pattern that keeps large workspaces clean. If you've already built the basics and want something more production-ready, there's a template at the end that does all of this out of the box.

The Basic Setup: Status Property → Board View

If you're starting from scratch:

1. Create a new database page (/table or /board in any page)
2. Add a Status property (Select type) with columns: Backlog, To Do, In Progress, In Review, Done
3. Switch to Board view and group by Status

That's your foundation. Every card (task/item) sits in a column based on its Status value. Drag to move, click to open.

One thing worth knowing: Notion has a built-in Status property type (distinct from a plain Select) that comes pre-configured with those standard columns and shows a colored indicator on cards. Use that instead of a plain Select — it saves time and plays well with filters later.

Pro Move: Add Priority + Assignee for Team Use

A solo board only needs Status and a title. Once another person touches it, you need two more properties:

Priority (Select): P1, P2, P3 — or High, Medium, Low if you prefer plain language. Add an emoji prefix (🔴 High) so it reads at a glance on compact board cards.

Assignee (Person): Multi-select allows multiple owners per task. Single Person works for clear ownership. Use Person type, not text — it connects to real workspace members and enables filter views.

Due Date (Date): Essential for anything time-sensitive. Notion shows a date badge on cards when this is filled in.

Once these three are added, your board goes from a visual todo list to something that actually supports collaboration. Cards show who owns what, what's urgent, and what's overdue — without opening every item.

Filter Views: The Most Underused Notion Feature

Most people create one view and live in it. The real leverage is in saved filter views that give everyone the slice they actually need.

"My Tasks" view:

• Board view → Filter → Assignee → is → [current user] (use the dynamic option, not your name — it adapts per viewer)
• Everyone on the workspace sees their own tasks without filtering manually

"This Week" view:

• Table or board view → Filter → Due Date → is within → This week
• Sorts to show what needs to ship in the next 7 days
• Add a second filter: Status → is not → Done to clear completed items

"Active Only" view:

• Board view → Filter → Status → is not → Done and Backlog
• Cleaner signal-to-noise for daily standups

The Linked Database Pattern

Here's where Notion pulls ahead of standalone Kanban tools: you can maintain one master task database and embed project-specific views inside individual project pages — without duplicating any data.

How it works:

1. Create a master "Tasks" database — this is the single source of truth for every task across all projects
2. Add a Project relation property that links each task to a project record
3. Inside each project page, type /linked view of database → select your Tasks database
4. Filter that linked view by the current project

Now your project page shows only the tasks relevant to that project. The tasks themselves still live in the master database and show up in your "All Tasks" board, your "My Tasks" filter, and your "This Week" view. Nothing is siloed.

This pattern prevents the most common Notion sprawl problem: a dozen project boards that each have their own task database, no unified view of workload, and no way to see what's overdue across all projects at once.

One refinement: Add a Formula property to your Tasks database called Project Tag that pulls the project name as a text string. Use this for board card subtitles so every card shows which project it belongs to — critical when you're looking at the master board.

The Real Problem With DIY Setup

Everything above works. The issue is time. Building a solid Notion Kanban — with proper views, linked databases, filter configurations, and card templates — takes a few focused hours if you've done it before, and considerably longer if you're figuring it out as you go.

Most people either under-build (basic board, no views, abandoned in a week) or over-build (so much structure that maintaining it becomes a project itself).
